PROCEDURES

Call 911 when appropriate.

SOFTWARE PROGRAMS
Being an employee of Mountain Yoga requires three different online software programs:  
  • Mindbody: Our studio software
  • Zoom: our online class platform
  • Gusto: our payroll company. ​
Our Studio Manager will establish an account for you on all three websites. Look for an emails requiring your response and promptly reply.  Our Studio Manager will set up a training session with you on how to use these three programs.

COMPENSATION
Teachers are paid a base hourly wage plus a per student rate for classes. The same hourly rate is paid for mandatory trainings, meetings and studio events. Pay is based on the teacher clocking in and out using Mindbody. Staff is paid every other Friday by check or direct deposit (your preference.)

Your Mindbody account will be credited with a free membership the first month of your employment.  This is to encourage you to get to know our community, and for them to have a chance to see you!  Thereafter you will receive a deposit of 52 free classes — the equivalent of one free class a week — to be used any time of your choosing throughout the year.  Simply register for class on the Class Page of the website as any other student would. In addition, our Studio Director, Ann Dyer, welcomes you as a guest in her class as often as you like.  No need to register in Mindbody for Ann's classes, simply log in using the zoom link and enter the password DOYOGA .

ATTENDANCE, TIME OFF + SUBS
​As a Mountain Yoga employee, you are expected to be punctual and consistent in attendance. We ask that absences be carefully considered, and subs be arranged according to the procedures below. Absences of longer than two weeks or excessive absences must be approved by studio management.   

Tardiness
We realize traffic, weather or internet conditions may cause an employee to be late occasionally. However, employees are expected to plan for problems and to allow for extra time to commute or connect to work. If an employee cannot report to work as scheduled, they must notify their supervisor no later than 15 minutes prior to their regular starting time. This notification does not excuse the tardiness but simply notifies the supervisor that a schedule change may be necessary.
 
Absence
“Absence” is defined as when an employee is unavailable for work as assigned/scheduled. There are typically three types of absences:

  • Excused absence. Occurs when an employee provides management with sufficient notice in advance of the absence; the absence request has been approved in advance by the employee’s supervisor.  Sufficient notice is at least two (2) weeks prior to the absence taking place. Excused absences include pre-approved vacation, personal holidays, bereavement leave, and jury duty. When an employee has an excused absence, it is their responsibility to find a substitute to teach the scheduled class using the  Mountain Yoga Staff contact list and email the confirmed schedule of substitute teacher(s) to the Studio Manager with 48 hours of  your first day off.   Please limit excused absences to 10% of your work schedule
 
  • Unplanned absence. Occurs when an employee has properly notified their supervisor that he/she will be absent from work due to an illness or an emergency. Employees must notify their supervisor no later than one (1) hour prior to the employee’s scheduled start time on the same day the absence is occurring. When possible, we ask the employee to find a substitute to teach the scheduled class.  If you are too incapacitated to arrange your own sub — or if you are scheduled to teach a class within 24 hours  — text or call the The Studio Manager immediately. If you do not receive a reply within one hour, text or call the Studio Director. They will take responsibility for finding a sub for your next class and discuss how to address future needs with you. If they are unable to find a sub, your class will either be cancelled, or on occasion, you may be asked to record a class in advance for your students to watch in your stead. 
 
  • Unexcused absence. Occurs when an employee fails to report to work or properly notify their supervisor of the absence (“No call, no show”). Absences that occur frequently or demonstrate a pattern of absenteeism may be deemed unexcused and subject to corrective action. An unexcused absence counts as one (1) occurrence for the purposes of discipline under our attendance policy. No more than one unexcused absence will be allowed in a twelve (12) month period and will result in termination.​

Statuary Leave. The California Family Rights Act (CFRA) provides eligible employees the opportunity to take unpaid, job-protected leave for certain specified reasons. For more information regarding leave under this policy, employees should contact the Studio Manager.

Mandatory Attendance at Studio Events
Teachers are required to attend studio special events, such as Member Appreciation Parties  for which they will be compensated. Typically, these events are limited to an annual Member Picnic and an Open House. 
 
SCHEDULE CHANGES + RESIGNATIONS

Schedule changes.
New hires are asked to commit to the schedule for which they were hired for a minimum of three months before requesting a schedule change.  A two-week minimum is required to accommodate any schedule change requests from existing staff teachers.   A schedule change includes a change in day, time or title of class. We will work cooperatively with teachers to make changes that we believe will be beneficial to the studio and teacher, however there is no guarantee that schedule change requests can or will be accommodated. 


Resignation/Termination from Employment
Two weeks notice is preferred prior to resignation.  Because finding suitable replacement teachers is challenging, we request  two weeks notice for
each class being left if possible. For example, resigning from one class = 2 weeks notice; 2 classes = 4 weeks notice, etc. In addition, we ask that teachers share thoughts with us about potentially leaving prior to their resignation. 
Our door is always open, we want to hear from you.  

When resigning, we ask that a formal letter of resignation be mailed or emailed to the Studio Manager including 1) date of the last class to be taught, and 2) the cause for resignation.  We welcome any constructive feedback you can offer management at that time. Students are dramatically affected by a teacher leaving, so we ask that your announcing your resignation be discussed first with the Studio Manager to determine the best timing and messaging of the announcement.   

Your final paycheck will be issued on the last day of work. When an employee is terminated (i.e., a result of performance or attendance problems, misconduct, etc.) no notice or pay in lieu of notice is available. Upon termination, earned wages shall be immediately paid upon the demand of the employee.

Upon separation from employment, for any reason, all Mountain Yoga property must be returned, including fitness equipment, key cards, keys, etc.


CLASSES PROCEDURES

How to Clock In/Out Using Mindbody
Your pay is based on time records from clocking in and out.  You must clock 15 minutes prior to class and clock out once students have left (no longer than 15 minutes following the end of class.)
  1. Using your staff member username, log into Mindbody.
  2. In the upper-right corner, click on the clock icon.
  3. Choose your location if applicable.
  4. Select the specific Time Clock Task that you're clocking in for.
  5. Enter in notes if you wish by clicking + Add notes.
  6. When you're ready to clock out, you'll once again click on the clock icon.
  7. Then select Clock Out.
  • Users with the enabled permission, i.e. management, can clock other people in and out.  

 
How to use Zoom a class:
  • Go to https://zoom.us/signin
  • Log out of Zoom if you are already logged into another Zoom account
  • Log in with our email address, info@m-yoga.org.  Password: MtY6116@    
  • Once logged in, click on "host a meeting" with “video on” 
  • ​"Mute all" under the participants tab before starting class
  • Hit "end meeting for all" to end class
You will receive a Zoom tutorial from the Studio Manager prior to your first class.

How to check the roster and/or sign someone into class
  1. Click on the Classes tab.
  2. Locate the day, time and class name that you would like to enter a client into.
  3. Click on the Sign In (number signed in/capacity) link.
  4. Enter the client's name into the search bar.
  5. Click on the client's name from the search results.
  6. This will enroll the client in the class.
  7. Depending on your Class & Enrollment Options, your client may be automatically signed in, or you may have to check the box in the Signed In the column to mark the client as signed in  (generally what you will do for 90% of students).
  8. ​​Press the red "X" to the left of the client's name to cancel any pre-registered student who did not attend. .
 
BLISS IN-PERSON/HYBRID CLASSES
Held at Bliss Fitness located at 4268 Broadway, Oakland, 2nd Floor 
There is plenty of street parking.  There is also a lot next to Bliss that officially belongs to the building next door, but is always empty and we are told "never checked."  Please let us know if this is not the case.
Studio opening:
  • Unlock the black gate and courtyard door using the keypad. Follow this sequence of steps:
  • Type in the Manager code (9979)
  • Press the lock icon button
  • Press 4
  • Press the lock icon button again​
  • Use black paracord tether to prop open the black gate (it should be hanging from the fence)
  • Lights on
    • Stairwell lights, located just inside studio door on the left side wall
    • Room light switches on either side of the room. stair side switch for fairy lights, far side switches for overhead fixtures (if needed – it’s nice & bright in here during the day with the skylights & windows)
  • Adjust overhead fans as needed, control next to overhead light switch, only turn dial to turn on/off
  • Turn on air filter, located next to mat wipe down cart
  • Check thermostat and set as appropriate for upcoming class 
    • Winter: fitness classes = 65°; stretching/core classes = 75°
    • Summer: fitness classes = 69°; stretching/core classes = 75°

Clock In + Out
  •  use the web browser on your phone to clock in and out on MindBody https://clients.mindbodyonline.com/classic/home?studioid=150944  ,Click "staff sign in" towards the top, and enter your user name and password.
  • Reconcile class attendance for both In Person and Zoom sessions before clocking out

Zoom setup
  • Log in to our zoom account using our email address info@m-yoga.org and password MtY6116@

Studio closing:.
  • Bliss mats cleaned/wiped down before being put away
  • All props and equipment returned neatly  to their places. Blankets folded as you found them, stored fringe facing in.  Straps neatly rolled.  Blue bolsters stacked on top  of purple bolsters.
  • Check cubbies for items left behind, any found add to Lost & Found box located between desk and top of stairs
  • Turn off air filter
  • Overhead fans turned off
  • Windows closed and locked
  • All lights off (overhead and string lights) 
  • Thermostat turned to appropriate temperature
    • Winter: 65° heat
    • Summer: 75° cool
  • One final walkthrough that nothing has been left out or left behind
  • Lock door to studio stairwell 
  • If you’re last out of the building, also turn off the building’s hallway lights on your way out
  • Remove black tether from the gate door (let it hang from the fence)
  • Lock the courtyard door and the black gate using the keypad. Follow this sequence of steps:
    • Type in the Manager code (9979)
    • Press the lock icon button
    • Press 5
    • Press the lock icon button again
OAKLAND YOGA STUDIO (OYS) IN-PERSON/HYBRID CLASSES
Oakland Yoga Studio (OYS)  is located at 4 Yosemite, cross street Piedmont Ave. 
Studio opening:Use key to unlock the gate to the building
  • Turn lights on as needed, see attached for instructions on lighting remote control
  • Turn on air purifier, turn knob on top side of unit
  • Do not adjust heat, JinSung has it preprogrammed
  • Pull out our laptop tripod, stored by skeleton near supply closet

Wifi Info

Clock In + Out

  • Turn off lights
  • CLOSE ALL other doors
  • Only LOCK the gate to the building using your key


OUTDOOR CLASSES
Outdoor classes are offered on an incidental "pop-up" basis and are held on the roof of the Montclair Garage in Montclair Village.
